Every Deal Needs a Next Step: The CRM Rule That Replaced a Pile of Features
A pipeline full of deals with no next action is a list, not a pipeline. Here is the single rule our CRM is built around, and what it flags for you each morning.
When we looked at our own pipeline, 10 of 15 deals had no next action. That is not a pipeline. It is a list of things we hoped would move.
The fix was not more features. It was one rule: no open deal exists without a next step and a date.
How the rule works
- You cannot create or move an open deal without saying what happens next and when.
- Leads from forms, bookings and scans arrive with a default next step, so nothing lands on the board empty.
- When you finish a step, one move records the outcome and sets the next one.
What the board tells you
Above the board, four counters show what needs you: overdue, due today, no next step, and gone quiet. A deal is flagged as quiet when nobody has touched it for 10 days. Click a counter and the board filters to those deals.
A timeline per deal
Every deal keeps a timeline: calls, notes, emails, stage moves, finished steps, linked tasks and the session it came from. You can see what happened without hunting through inboxes.
Why simple wins
We modelled the board on the Pipedrive approach, a short row of stages and a required next activity, because the heavy alternatives are built for agencies managing many clients. If you run your own pipeline, the question is not what you can configure. It is what you will do tomorrow.
Open the board. Look at the counters. Fix the red ones first.
