CAPTURE
Recording & Input
What can I record or upload?
Voice recordings (any length), audio files (MP3, WAV, M4A, OGG, FLAC), video files (MP4, MOV, WEBM), written text (paste directly), and documents (PDF, DOCX, XLSX, TXT up to 15 MB).
Is my audio processed on your servers?
Audio is processed on our private infrastructure using our AI transcription engine. It is never shared with third-party AI training datasets. Your database stores your content, and only you can access it.
How long can a session be?
There is no hard limit on session length. Recordings over 2 hours may take longer to transcribe. For very long sessions, we recommend splitting into logical segments.
Can I record on mobile?
Yes. Cognition7 is a Progressive Web App (PWA) — install it from your mobile browser and use it like a native app. Recording works on iOS Safari and Android Chrome.
What happens if I lose internet mid-recording?
The recording is saved locally and queued for sync. When you reconnect, background sync automatically uploads and processes it without any action needed.
Can I upload a Zoom or Teams recording?
Yes. Export the MP4 from Zoom/Teams, upload it on the New Session page, select your output type, and Cognition7 transcribes and processes the full meeting.
PRODUCE — MEDIA
Media Content
What social content does Cognition7 generate?
LinkedIn posts (long and short form), TikTok scripts, Instagram captions, YouTube descriptions, Facebook posts and Reels, and email copy — all extracted from your session.
Can I create a video from my own script?
Yes. Use Create Video in the left nav to type, speak, or upload a document — your exact words become the verbatim narration with no AI rewriting. Choose from three modes: Template Video (free, animated graphic), Cognition7 Voice (Creator Pro+, your cloned voice narrates audio only), or Cognition7 Avatar (Creator Pro+, a talking-head video using your avatar photo). The script goes to the video exactly as written.
Can I generate Cognition7 Avatar videos?
Yes, on Creator Pro, Professional, Executive, Team, and Agency plans. Upload your portrait photo and Cognition7 uses your cloned voice to generate a lip-synced Cognition7 Avatar video ready to post directly to TikTok, Instagram, or YouTube. Creator Lite and Professional can add Cognition7 Avatar as a paid add-on.
How do I connect my social accounts?
Go to Settings → Integrations → Social Media Accounts. Click Connect on any platform. You will be redirected to authorise Cognition7 on that platform, then returned automatically. Social publishing is handled by our Distribution Engine — contact support if you need assistance.
Can I schedule posts in advance?
Yes. When publishing content, toggle auto-schedule to let Cognition7 pick the optimal posting time for each platform, or set a specific date and time manually.
What is the Content Calendar?
The Calendar (Scheduled section) shows all pending and published posts across platforms. You can reschedule or cancel posts from there.
FACEBOOK
Facebook Publishing
How does Facebook publishing work in Cognition7?
Connect your Facebook account in Settings → Integrations → Social Media Accounts. Once connected, Cognition7 generates Facebook-specific content automatically alongside LinkedIn, Instagram, TikTok, and YouTube — no extra steps required. Content is tailored to Facebook's format: 80–150 words with a diagnostic or BEFORE/AFTER hook structure.
Does Facebook support video posts?
Yes. Facebook Reels are video-only. If your content has a Cognition7 Avatar video attached, it will be posted as a Reel. Text-only posts publish as standard Facebook posts. Video scripts are generated using the BEFORE/AFTER hook structure optimised for Facebook's short-video format (target 45 seconds).
When is the best time to post on Facebook?
Cognition7 targets Wednesday and Thursday, 1–3 pm local time, when auto-schedule is enabled for Facebook. These windows reflect peak engagement for B2B and professional content on the platform.
Is Facebook available on all plans?
Facebook is available on all plans. Creator Lite and above include LinkedIn, Instagram, TikTok, and Facebook. YouTube is included from Creator Pro and above.
I connected Facebook but it still shows as not connected — what do I do?
After connecting via the popup, wait for the confirmation message, then refresh the Integrations page. If it still shows as not connected, click the sync button next to Facebook or disconnect and reconnect. This is typically a timing issue between the authorisation callback and the status refresh.
VOICE & VIDEO
Voice Cloning & Cognition7 Avatar
How does voice cloning work?
Upload a 30-second to 5-minute WAV or MP3 voice sample in Settings → Voice & Cognition7 Avatar. The system clones your voice and uses it for all narrated content going forward. Cloning typically completes in under 2 minutes.
What quality of sample gives the best clone?
Use a clean recording with no background noise or music. Speak in your natural tone — no need to perform. Longer samples (2–5 minutes) produce more accurate clones. A standard podcast-quality microphone is sufficient.
How do Cognition7 Avatar videos get generated?
Upload a clear portrait photo in Settings → Voice & Cognition7 Avatar. When you generate a social video output, Cognition7 combines your cloned voice with your photo to produce a lip-synced Cognition7 Avatar video. Processing takes 1–3 minutes depending on length.
Can I revoke my voice consent and delete my voice clone?
Yes. Go to Settings → Voice Consent. You can revoke consent and delete your cloned voice at any time. Deletion is permanent and irreversible. Future content will use text-to-speech synthesis until you upload a new sample.
What plans include Cognition7 Avatar?
Cognition7 Avatar runs on credits. A 30-second photo-avatar video uses 1 credit, and a trained-twin video uses 2. Monthly credits: Creator Pro 5, Professional 5, Executive 20, Team 40, Agency 100, Enterprise 300 (by contract). Creator Lite users can add Cognition7 Avatar as a paid module (5 credits a month) from the Billing page. You can top up with more credits at any time.
How long can a Cognition7 Avatar video be?
Up to 30 seconds — most scripts are written for 25. Short-form wins attention: hook fast, make one point, call to action. If your script runs longer, Cognition7 asks you to trim it before anything is generated.
Can I hear my avatar video before it is created?
Yes. Every avatar video starts with a voice preview. Listen, edit the script if you want, and only approve when it sounds right. Your video uses exactly the audio you approved, and nothing counts against your allowance until you approve.
What counts towards my monthly avatar videos?
Each avatar video created counts as one — including regenerating a video you have already made. Previews and failed renders never count. Your allowance resets on the 1st of each month.
Do unused avatar videos roll over?
Yes, for one month. Anything you don't use this month carries into next month, then expires. Your plan must have been active for the whole previous month for rollover to apply.
What happens when I run out of avatar videos?
You will get a heads-up at 80% of your credits. When you run out, or any time you like, you can buy credits from the preview screen or Settings: 10 credits for $49, 25 for $109, or 50 for $199. Purchased credits never expire and are used only after your monthly credits. Template videos stay available at any time.
Are Cognition7 Avatar videos watermarked?
On Creator Pro and above, no watermark is applied. Free and Creator Lite users cannot access Cognition7 Avatar. If your plan includes it, the output is clean and ready to publish.
PRODUCE — DOCUMENTS
Documents
What document types can Cognition7 produce?
Meeting Minutes, Executive Brief, Strategic Document, ICF Session Notes, Client Progress Report, Next Session Plan, CPD Evidence Report, Coaching Agreement, and Custom (you specify the format).
How do I access documents after a session?
Go to Documents in the left nav. All generated documents are listed there, searchable by session title or date.
Can I export documents as PDF or DOCX?
DOCX download is available on all paid plans. PowerPoint (PPTX) export is available for Strategic Documents on Executive and Agency plans — click the PPTX button on any Strategic Document.
Are coaching document types available on all plans?
ICF Session Notes, Client Progress Report, and the other coaching-specific outputs require Creator Pro or above, and your account vertical must be set to Coaching in Settings.
TEMPLATES
Document Templates
What is a Document Template?
A Word or PowerPoint file that sets the layout: fonts, sizes, colours, structure and cover page. Cognition7 writes the content into it from your session, notes or values you type. The layout never changes; only the content does.
Do I have to fill in all the fields of a template?
No. Pick a session (and add notes if you like) and press Generate. Cognition7 writes the headlines, summaries, steps and figures from your session, and your saved details fill your name, company, contact details and the date. You only supply what a session cannot know: names, prices and reference numbers, and only if the session did not mention them. A 50-field Pitch Deck typically needs a few facts from you (the client name and three prices), not fifty entries.
What does "Not in the session" mean after I generate?
The document is held back when a name, price or similar fact is missing, so a blank never reaches a client. A short list shows only the items the session did not contain. Type them in, press "Add and generate again", and the rest of the document is kept as it was. You can also open "Review and edit all fields" to change any wording. Testimonials are never invented: add a real quote, or leave that slide out of your own template.
What is the brand kit?
Three colours, primary, secondary and tertiary, that you set once under Settings, Brand kit. The standard Cognition7 templates (Executive Report, Proposal, Meeting Minutes, Client Letter, Strategy Deck, Pitch Deck) then use them for covers, titles, rules and highlights. The same colours appear, already filled in, under "Your details on documents" on the Templates page, and you can change them for a single document when you generate it without touching your saved kit. Templates you upload yourself always keep the exact colours they were designed with. A primary colour too light for white titles is refused, because covers and slide headers would become unreadable.
Which templates come ready to use?
Six standard templates, all in one consistent house style: Executive Report, Proposal, Meeting Minutes (including matters arising), Client Letter, Strategy Deck and Pitch Deck. Reports, proposals and minutes open with a professional cover page. Use them as they are, or upload your own.
Where does my logo come from?
Upload it under "Your details on documents" on the Templates page (PNG or JPEG, 1000px wide or more for sharp print). It appears on every cover page and letterhead, scaled to fit without stretching. With no logo uploaded, your company name is shown instead.
Where do my company and contact details come from?
From "Your details on documents" on the Templates page. Enter your company name, registered name, your name, title, address, phone, email and website once; they fill every letterhead, cover, signature and footer automatically. Details about the client — recipient, prices, dates — come from the session you choose or the values you type for that document.
How do I make my own template?
Design the document in Word or PowerPoint exactly as you want it. Wherever content should go, type a placeholder in double curly brackets, for example {{client_name}} or {{executive_summary}}. For a table row that repeats once per item, wrap the row in {{#items}} … {{/items}}. To place your logo, add any picture and set its alt text to {{logo}}. Then upload the file on the Templates page.
What file formats are supported?
Upload templates as DOCX (Word), PPTX (PowerPoint) or PDF. A Word template downloads as Word and a PowerPoint template as PPTX. A PDF with fillable fields is filled in place and flattened, so the layout is exactly yours. Any other PDF is treated as a letterhead: you mark the area for the text once (Set writing area) and every letter is written onto your original page, with extra pages using the same letterhead. Your design is never redrawn. The letter text uses a standard PDF font (Helvetica, Times or Courier), so it will not match a custom brand typeface exactly; for that, upload the Word version.
What checks run before a document is released?
Every document is checked before you can download it: every placeholder must be filled and no unfilled {{tags}} may remain. If a check fails, the document is held and the failing check is shown so you can fix it.
What plans include Document Templates?
Word templates — the standard Executive Report, Proposal, Meeting Minutes and Client Letter, plus your own uploaded Word templates and your logo on documents — are included from the Professional plan. PowerPoint templates — Strategy Deck, Pitch Deck and your own decks — are included from the Executive plan. Free and Creator plans can browse the templates and upgrade to use them.
EXECUTE
Actions, Approvals & Calendar
How does the 30-day content plan work?
Open Content Plan, choose a recording and the platforms you want (your Settings platforms are preselected, and your plan decides which are offered: LinkedIn, Instagram, TikTok, YouTube and Facebook), and Cognition7 pulls out the distinct ideas you actually spoke about, then writes one piece per idea for each platform: posts, captions, or a 25 to 30 second script for TikTok and YouTube Shorts. The first 14 days run daily; the rest are spread across the month, from authority to revenue. A short recording yields fewer ideas, so the plan is thinner; we never pad it. Every figure in a piece is checked against your recording, and pieces with an open check are marked for a closer look. Nothing is scheduled until you approve it; you can edit, rewrite or remove any piece first. Approving a video script does not make the video. Open Content, find the script and press its video button: you preview first, then it renders and the finished video appears on that card, using avatar credits. Available from the Executive plan.
What is My Tasks?
After every session, Cognition7 extracts the action items automatically and they appear in My Tasks. Each task has a responsible person (matched from the name spoken in the session where possible), a real due date when one was given, a state (backlog, to do, in progress, review, done), a percent complete and an estimate in hours. You can add tasks by hand, link a task to a project, and plan it into a sprint. Switch between your own tasks and the whole team.
How do Projects work?
A project has a responsible person, dates and a list of tasks. Its percent complete is rolled up from its tasks, weighted by their estimated hours, like a summary task in a project plan; subtasks roll up into their parent, and you can set the percentage by hand if you prefer. Each project has a table, a board, a timeline and its own sprints. Link CRM deals to a project when you create them, or start a delivery project from a won deal, to track delivery against the sale.
How do sprints work, and how long can they be?
On the Scrum dashboard you plan work from the backlog into a sprint, start it, and watch the burndown. A sprint can be 1 day, 1 week or 2 weeks, and you can change the length each time you close one. Closing a sprint records the hours finished (your velocity), carries unfinished tasks into the next sprint and, if you like, starts it straight away. Each sprint has a retrospective board: keep, change and stop notes that you vote on and turn into tasks.
Can tasks be created automatically?
Yes. On the Scrum dashboard, Automation lists the events that can create a task: actions extracted from a session, a lead captured, an appointment booked, a deal changing stage, a contact created and a follow-up sequence finishing. For each you choose who gets the task, its size, its deadline and whether the rule is on.
What are Approvals?
Before content is published to social platforms, it appears in Approvals for your review. You approve, edit, or reject each piece. Nothing posts without your sign-off.
How does the Scheduled calendar work?
The Scheduled view shows content queued for publication across all connected platforms. It pulls from Approvals once items are approved, and syncs back status after publishing.
BOSS
BOSS Diagnostic
What is the BOSS Diagnostic and where do I find it?
It is in the left menu under Intelligence. You score each BOSS letter (Build authority, Optimise systems, Scale distribution, Sustain cash flow) from 1 to 5, honestly: what exists today, not what you intend. Cognition7 then scores the same four letters from what is actually in your account and shows the two side by side.
How does Cognition7 score me?
From your own account only: approved and published content, deals with a next step and a date and any overdue, tasks with owners and dates, live capture pages and webinars, new contacts and their sources, a paid offer, won deals and delivery projects. The rules are fixed and written on the page. Client sessions are never counted. Recurring revenue cannot be seen from an account, so a 5 on Sustain cash flow is only ever your own claim.
Which score counts, and where do I start?
The lower of your score and the measured score counts for each letter, and you start with the lowest letter. If you scored yourself two or more points higher than your account supports, the page says so. Write your one-line decision, save it, and re-score in 30 days to see what moved.
COURSES
Course Generator
What does the Course Generator do?
You say what the course is about, who it is for and what a student can do at the end, then choose a recorded session or paste a document or notes. It plans the modules and lessons, then writes each lesson to be read aloud, with steps, a worksheet and a done-when checklist. You can edit any lesson, rewrite it, and download the course as text or as a PowerPoint. Available from the Executive plan.
Will it invent statistics or stories?
No. Every lesson is checked against the material you gave it. A figure that is not in your material, a study that is not in your material, or a client story you did not tell is flagged on the lesson so you can fix it. If you add a figure in your own edit, it counts as yours.
Can I build a course from a client session?
No. Client sessions are confidential and are never offered as course material.
Does it host my course and take payment from students?
It does not take payment from students. You get a private course area (My course area) where you can watch and study your own course, with its videos, written lessons, transcripts and quizzes. To sell it, host it on the platform you already use and take payment with your own payment processor.
Can you make the videos for my lessons?
Yes, in Lesson Studio. We make each video for you: the lesson read aloud in a clear voice, diagrams drawn from your lesson, and a check that the video says what your written lesson says. A video is delivered only after it passes that check. You get a quote before anything is made, and you pay nothing until you accept it. Your delivered videos appear in My course area. If you edit a lesson afterwards, you are told that its video no longer matches.
CLIENTS
Clients, Consent and Your Data
How do I keep my coaching clients separate?
Add each client on the Clients page. When you start a session, choose the client. Their themes, actions and remembered facts are then kept apart: a session for one client is never given another client's material, and your own business sessions never see any client's. Client sessions are also left out of content plans and cannot be combined with another client's in a synthesis.
Do I need my client's consent before recording?
Yes. For a client session Cognition7 requires two recorded consents first: recording, and AI transcription and notes. Tick them on the Clients page once the client has agreed. Each change is kept with the exact wording and the time, and withdrawing a consent blocks further sessions straight away. Sharing with a sponsor and product improvement are separate, optional consents.
Can a client session become a social post?
No. Client sessions cannot be turned into social content and are never used as a source for content plans. Use a coaching output such as session notes instead.
How do I connect my social accounts, and what if a connection stops working?
Open Settings, then Integrations, and press Connect next to a network. You connect on the network's own page and come back to Cognition7. If a connection expires or is revoked at the network, the network shows a yellow Reconnect needed label and a Reconnect button, and Publish Now tells you to reconnect before it tries to post. Posts are only ever published after you approve them.
Can an Agency account publish for several client brands?
Yes. Agency accounts can add extra brands in Settings, Integrations, each with its own connected social accounts. On the Scheduled page, choose "Publish as" for each post to pick the brand it goes out under. A brand's accounts are separate from your own and from other brands.
Can I download or delete all my data?
Yes. In Settings, under Your data, choose Download my data for a file of your sessions, transcripts, clients, content and settings (secrets such as tokens are left out). Choose Delete my account to erase everything and your login. If you are on a paid plan, cancel it on the Billing page first.
My PDF form has fields called Text1 and Field_7. What do I do?
On the Templates page, press Name fields on the form and write in plain words what goes in each one. Unclear names are marked. The writer uses your names to decide what to put in each field.
How do I erase a client?
On the Clients page choose Erase and type the client's name. This permanently deletes their sessions and transcripts, notes, actions, remembered facts and consent history.
WEBINARS
Webinar Engine
What does the Webinar Engine do?
You give it a topic, the number of slides, the length in minutes, what the webinar is for, and something to build from: a video script or session you already have, a document you upload, or a story you type. It plans the structure for your goal, writes the slides and the speaker notes with timings, and draws infographics (stat cards, step diagrams, comparisons) as editable PowerPoint shapes in your brand colours. You download a PowerPoint and narrate it. Available from the Executive plan.
How do buyers pay from the offer page, and what happens after they pay?
If your offer has payment options set up, the offer page shows the price that applies right now (webinar price or standard price), lets the buyer choose to pay once or in monthly payments, and sends them to PayPal to pay. Cognition7 confirms the payment with PayPal before recording it, then marks the buyer as bought in the CRM, stops their follow-up emails, moves their deal to Won, and emails you and the buyer. The buyer's card and PayPal login are entered on PayPal only. Offers that use your own checkout link still send the buyer to that link.
Where do the facts in my webinar come from?
Only from what you give it. Every claim slide points to a passage in your material, every figure on a slide must appear in your material, and a slide it cannot support is flagged instead of guessed. Check any statistic in your own document before you present it: the engine checks that a figure is in your material, not that it is true.
Does the webinar have to end with an offer?
Yes, for every goal except internal training. The offer must be a paid one: a price above zero, what is included, and the https link where people pay, for example your PayPal payment link. The offer slide shows the exact price, and a public offer page with a Pay now button sends people straight to your checkout.
Which webinar software do I use?
Run the session on the tool you already have: Zoom, Microsoft Teams, Google Meet or YouTube Live. Add that joining link to your webinar and Cognition7 gives registrants a registration page, shows them the link and a calendar file after they sign up, and puts each registrant in your CRM with a next step.
Can I invite people from my CRM to a webinar?
Yes, one person at a time, from the deal. First mark why you may contact them: they opted in, they are an existing customer, or they are a business contact whose business email is published for enquiries. Then choose a published webinar and press Invite. Cognition7 sends one short personal email that says why they are receiving it and has a do-not-contact link. It refuses anyone with no basis, anyone marked do not contact, anyone who has unsubscribed, anyone already invited, and personal email addresses used as business contacts. There is a daily limit of 40 invitations. The invitation is logged on the deal.
How do I find people for my webinar?
Each webinar can generate a targeting plan from your own audience description in Settings: who to bring in, where they are, what to say, and a first-week list of actions. It only uses channels where people come to you or agree to hear from you: your own content, comment-a-keyword links, your own email list, partners, referral links, communities that allow it, paid ads, and a single personal invitation to a business contact. Cognition7 does not scrape personal details from social platforms or buy lists, which breaks the platforms’ terms and, in many countries, the law on unsolicited marketing. This is guidance, not legal advice.
How do partner and referral links work?
Give each partner, reseller or source its own link by adding ?ref=name to your registration link. People register themselves on your page, and you see how many came from each source. A partner also gets a report link that shows only the number of registrations, never names or emails.
What emails do registrants get before and after the webinar?
A reminder a day before and one an hour before. After the webinar, once you have marked who attended, attendees get a thank-you with the offer, and no-shows get the replay. People who have not bought then get three well-spaced emails over the following week, and only people who engaged (attended, or opened the offer page) get two more weekly ideas. Buyers and anyone who unsubscribes stop receiving emails immediately. At most one email goes to a person per run, so nobody is flooded. More emails do not sell more: sending too often raises unsubscribes and spam complaints, which damages delivery for everything you send.
How does Cognition7 know who bought?
Payments happen on your own checkout, so Cognition7 cannot see them. It counts who viewed the offer page and who pressed Pay now. When you see a payment, press Mark bought next to that person: it stops their follow-ups and moves their CRM deal to Won at the offer price.
How does registration handle consent?
Registrants must tick a box agreeing to receive the joining details and related emails from you, and every email carries an unsubscribe route. We store the exact wording they agreed to and the time. Only message people who agreed.
GROWTH INTELLIGENCE
CRM & Lead Pipeline
What is Growth Intelligence?
Growth Intelligence is your built-in CRM and lead pipeline. It tracks contacts and deals across six stages: New lead, Contacted, In conversation, Proposal, Won and Lost. Every open deal must have a next step and a date. The board flags deals that are overdue, due today, have no next step, or have gone quiet for 10 days, and each deal has a timeline of calls, notes, emails, stage moves and finished steps. Drag a card to move it between stages. Every lead source — manual, session-generated, or inbound via social — flows into one place.
How do Instagram DM automations work?
Open Instagram DMs, connect your Instagram professional account, and build an automation: choose the keywords that start it (a comment on a post, or a message), then write the messages, questions and buttons, and choose when to tag the person or save them as a lead. A built-in preview lets you try the conversation before anything is sent. Leads land in your CRM with the answers they gave and a next step. Instagram only lets an account send one private reply to a comment, and further messages only after the person replies, within 24 hours. Connecting needs Instagram approval of our app; until then you can build and preview automations, and they go live once access is approved.
How do leads enter the pipeline automatically?
When you connect your ManyChat account (Instagram DM automation), leads who complete your qualifying flow are captured automatically — name, email, platform handle, pain point, and revenue stage — and land in your pipeline as a Warm Lead with context already attached.
Can I add contacts and deals manually?
Yes. Use the Add Deal button in Growth Intelligence to create a deal with or without an associated contact. You can link a deal to a contact, set a value, stage, next action, and notes.
What does each pipeline stage mean?
New lead — identified prospect. Contacted — first contact made. In conversation — active dialogue. Proposal — offer sent. Won — client closed. Lost — deal did not proceed.
Does the pipeline connect to my sessions?
Yes. Deals can be linked to a meeting source. When you record a sales call or strategy session, Cognition7 can reference it directly in the deal record.
What is LeadGap?
LeadGap is a lead intelligence tool that searches for businesses in any category and city, then filters for those with digital gaps. Each result is scored Hot, Warm, or Cold based on review count — high-review businesses with no online presence are your highest-value prospects. You can enrich leads with owner contact details and push them directly into your CRM pipeline in one click.
Can LeadGap find businesses whose website is poor, not just missing?
Yes. Choose Weak Website, or start from a niche such as lawyers or coaches. LeadGap reads each business’s homepage and reports what it could not find: a way to book online, a way to leave an email or enquiry, visitor tracking, a mobile-ready page, or a current footer year. These are signs, not proof: something loaded by script after the page opens cannot be seen. Outreach for these leads mentions only what the audit found. The default search is No Website. You can also describe who you want in one sentence, such as family-law attorneys in Johannesburg with a thin web presence. LeadGap shows what it understood and runs the search.
What data does LeadGap return?
LeadGap uses Cognition7 Intelligence to find businesses and returns name, category, city, phone, rating, and review count. It automatically scores and filters results by gap type. Cognition7 Enrichment then finds owner email addresses so you can reach decision-makers directly.
What is NichePulse?
NichePulse is a market intelligence tool — separate from lead generation. You enter a niche (e.g. "meal prep coaches" or "bookkeeping for small business") and it scrapes Reddit and Google Reviews for raw complaints, frustrations, and unmet needs. An AI then clusters the data into ranked pain themes, each with verbatim quotes, offer positioning angles, and content hooks you can use immediately.
What is the difference between LeadGap and NichePulse?
LeadGap tells you WHO to sell to — specific businesses with a clear gap you can fill. NichePulse tells you WHAT the market is paying to fix — validated pain points, positioning angles, and content ideas drawn from real conversations. Use NichePulse to sharpen your offer and content before using LeadGap to find leads.
INTELLIGENCE
Memory, Themes & Sessions
What is Business Memory?
Memory stores recurring strategic facts, decisions, contexts, and actions extracted across sessions. Over time, Cognition7 builds a structured intelligence layer about your business — themes, recurring blockers, decisions made.
What is the Themes view?
Themes shows patterns across multiple sessions — recurring topics, strategic priorities, and frequently mentioned concepts. It updates automatically as you record more sessions.
Where can I see all my past sessions?
Sessions are in the Intelligence → Sessions section. Click any session to see the transcript, generated content, extracted actions, and memory nodes.
Can I delete a session?
Yes, from the Sessions detail view. Deleting a session removes the transcript, generated content, and associated memory nodes.
AI TEAM
AI Team & Employees
What is the AI Team?
The AI Team consists of specialised AI employees that work autonomously on your behalf between sessions. Each employee has a defined role, a specific output type, and a set schedule. They analyse your accumulated intelligence and surface recommendations, content, and insights without you needing to prompt them.
Who are the AI employees?
James Kona (Chief of Staff) — strategic priorities and executive briefs. Jordan (Content Director) — content strategy and publishing schedules. Morgan (Business Analyst) — financial and operational patterns. Alex (Execution Manager) — action tracking and deadline management. Taylor (Product Intelligence) — product and market analysis. Riley (Research Assistant) — research synthesis and competitive intelligence.
How often do AI employees run?
Each employee has a configurable schedule — daily, weekly, or on-demand. Scheduled runs happen automatically via the Automation Engine. You can trigger a manual run from the AI Team page at any time.
Do AI employees post content automatically?
No. AI employee outputs go to Approvals first. You review, edit if needed, and approve before anything is published. The approval gate is always on.
Can I activate or deactivate individual employees?
Yes. Toggle each employee active or inactive from the AI Team page. Inactive employees do not run on schedule but can still be triggered manually.
What plans include AI employees?
AI employees are available on Professional and above. Executive and Agency plans include all six active employees. Professional includes James Kona, Jordan, and Alex. Creator Pro users have read-only access to employee output history.
BILLING & PLANS
Billing & Plans
What happens when I reach my monthly allowance?
Each plan includes a monthly allowance for avatar videos and 30-day content plans. At 80% you are warned. At 100%, new avatar videos and new content plans pause until your allowance resets on the 1st of the next month; you can also buy credits or upgrade. Recording, transcription, documents and downloads never stop, and videos paid for with purchased credits are not affected.
What plans are available?
Free (3 sessions/month), Creator Lite ($29/month, 40 sessions a month), Creator Pro ($49/month), Professional ($79/month), Executive ($199/month), Team ($399/month, 5 seats) and Agency ($999/month), plus Enterprise on a custom contract. Annual billing saves the equivalent of 2 months.
Which payment methods do you accept?
PayPal and Paystack. PayPal covers cards and PayPal balance worldwide. Paystack covers local cards and bank transfers across Africa.
Is there a free trial?
Yes. Free users get a one-time 14-day Creator Pro trial with no credit card required. Activate it from the Billing page.
Can I cancel anytime?
Yes. Cancel from the Billing portal at any time. You keep access until the end of the current billing period. No partial refunds for unused days.
What is the refund policy?

On the Billing page, enter your promo code in the field in the payment panel before selecting a plan. Codes are case-insensitive.
RESELLER PROGRAMME
Reseller Programme
Is commission capped?
Commission is paid on the plan your client chooses, up to a cap that protects the lower plans: Creator Lite 20%, Creator Pro 15%, Professional and Agency 30%, Team 25%, Executive 40%. The tier rate applies where it is lower than the cap.
What is the Cognition7 Reseller Programme?
A structured referral programme where you earn recurring commission for every client you refer. Tiers: Bronze (25%), Gold (35%), Platinum (40%), Diamond (45%).
What does it cost to join?
Bronze is free — you must have an active Professional plan ($79/month) or above. Gold is a $199 one-time entry fee. Platinum is $499. Diamond is $999. Each paid tier includes a Cognition7 plan upgrade to match.
When are commissions paid?
On the 1st of each month, for conversions confirmed in the prior month. Minimum payout threshold is $50.
Is the entry fee refundable?
Entry fees are non-refundable once your account is activated and your referral code is issued. If activation did not occur due to a system error, contact finance@synova.capital within 7 days.
How do I track my referrals and commissions?
Your Reseller Dashboard shows all referrals, their conversion status, commission history, and your referral link. Everything updates in real time.
Can I upgrade my tier later?
Yes. Pay the upgrade fee at any time. Sprint bonus: sign 5 paying clients within 90 days of joining Bronze and the Gold entry fee ($199) is waived when you upgrade.
How does referral tracking work?
When someone clicks your referral link, a 90-day cookie is set on their browser. If they sign up and pay any time within those 90 days — even if they return directly — the conversion is attributed to you.
Do I earn on clients who upgrade their plan?
Yes. Your commission is recalculated whenever a referred client upgrades their Cognition7 plan. You earn your commission rate on the new monthly amount going forward.
TECHNICAL
Technical
What AI models does Cognition7 use?
Cognition7 uses proprietary AI infrastructure for transcription, content analysis, voice synthesis, and avatar video generation. The specific engines are our trade infrastructure — what matters is the output quality and privacy guarantees.
Is my data secure?
All data is stored in a private PostgreSQL database with Row Level Security enforced. Only your authenticated session can access your data. Audio is never stored long-term after processing.
Does Cognition7 work offline?
Partially. You can record offline and the recording will be queued for processing when you reconnect. Analysis, content generation, and publishing require an internet connection.
What browsers are supported?
Chrome (recommended), Firefox, Safari (iOS + macOS), and Edge. For PWA installation on mobile, use Chrome on Android or Safari on iOS.
Can I integrate Cognition7 with other tools?
Yes. Connect social accounts via Integrations. Webhook and Automation Engine support is available for Enterprise plans. A Zapier connector is on the roadmap.
Is voice cloning consent required?
Yes. Before cloning your voice, you must give explicit consent on the Voice Consent page (linked from Settings). This is required under POPIA (South Africa) and GDPR (EU). Your consent is logged with a timestamp. You can revoke it and delete your voice clone at any time from Settings.
Who do I contact for technical support?
Email order@businessai7.com with your account email and a description of the issue. We target a 5 business day resolution.
ACADEMY
Cognition7 Academy
What is Cognition7 Academy?
Academy is our built-in learning platform. It is not a third-party LMS — it is core to the product. Structured tracks with video modules, quizzes, notes, and verifiable certificates are delivered inside your Cognition7 account.
What tracks are available?
Four tracks are currently live: AI Business Foundations (all users), Reseller & Partner Certification (reseller accounts), AI Coaching Practitioner (Executive and above), and Platform Mastery (all users). More tracks are added each quarter.
Do I get a certificate?
Yes. A verifiable certificate is issued automatically when you complete all modules in a track. Each certificate has a unique ID and a public verification URL you can share on LinkedIn or with clients — no login required to verify.
Do I need to complete modules in order?
No. All modules within a track are accessible from the start. You can watch them in any order. Track completion and certificates are issued once all modules have been marked complete.
What is the quiz pass mark?
80%. You can retake quizzes as many times as needed. Each attempt shows explanations for all answers — right or wrong — so each retry is a learning opportunity, not just another try.
Is the Coaching track ICF accredited?
ICF CPD (Continuing Professional Development) approval is pending for the AI Coaching Practitioner track. Certificates issued now will be updated with ICF accreditation status once approved. We will notify all enrolled users.
Will resellers get access to Academy?
Yes. Resellers are automatically enrolled in the Reseller & Partner Certification track on signup. Completing this track gives your clients confidence in your delivery capability.
WHATSAPP
WhatsApp Messaging
How does WhatsApp work in Cognition7?
You connect your own WhatsApp Business number — messages go out under your brand, not ours. Once connected, WhatsApp fires automatically alongside your email sequences, funnel form submissions, and appointment bookings. You can also send manually from any deal in your CRM.
Do I need a separate WhatsApp Business account?
Yes. You need a Meta Business account with access to the WhatsApp Business API. This is different from the standard WhatsApp Business app. If you already have a WhatsApp Business number, you can connect it via Settings → Integrations → WhatsApp Business. Meta's official documentation walks you through getting API access.
Why do I have to wait 24 hours before I can send?
WhatsApp requires all proactive messages — messages you initiate, not replies — to use pre-approved templates. Meta reviews these templates before they go live. Utility templates (appointment reminders, booking confirmations, funnel welcome messages) are typically approved within 24 hours. Marketing templates (sequences, follow-ups) can take up to 72 hours. This is a Meta requirement, not a Cognition7 limitation. You will receive an email notification the moment your templates are approved.
What happens to my WhatsApp automations while templates are being reviewed?
Nothing is lost. Sequence steps and funnel triggers that would fire a WhatsApp message simply check whether the relevant template is approved before sending. Once approved, subsequent sends work immediately. Any sequences or funnel leads that came in during the review period will send their WhatsApp on the next automation cycle.
Which templates does Cognition7 use?
Cognition7 includes 10 preset templates covering the full BOSS Framework customer journey: appointment confirmed, appointment reminder, funnel lead welcome, funnel follow-up, sequence introduction, sequence value, sequence follow-up, sequence final touch, deal next step, and quick check-in. These are submitted automatically when you connect your WhatsApp number. You do not need to write or configure them.
What does it cost to send WhatsApp messages?
Meta provides 1,000 free conversations per month per WhatsApp Business number. A conversation is a 24-hour window of messages — not individual messages. Beyond the free tier, pricing depends on your country and conversation type: utility conversations (reminders, confirmations) are cheaper than marketing conversations. Most Cognition7 users stay within the free tier at early scale. Costs are billed directly to your Meta account — Cognition7 does not charge for WhatsApp sends.
Can I send WhatsApp to any contact?
For proactive messages (sequences, funnel follow-ups, reminders), the contact must have opted in to receive messages from your business — this is a Meta and legal requirement. For inbound conversations (a contact messages you first), you can reply freely for 24 hours without a template. Always ensure you have consent before sending marketing messages.
Will my clients know this is automated?
No. Messages come from your WhatsApp Business number with your display name and profile. The templates are written conversationally and personalised with the contact's name. Recipients see a direct message from your business, not a system notification.
What if a template gets rejected by Meta?
Meta may reject templates that are too promotional in tone, contain prohibited content, or violate their commerce policy. If a template is rejected, its status updates to "rejected" in Settings → Integrations. You can resubmit with adjusted wording. Cognition7's preset templates are written to comply with Meta's policies — rejections are uncommon but can happen in certain markets.
FUNNELS
Funnels & Lead Capture
What is the Funnels builder?
Funnels is a landing page and lead capture builder built into Cognition7. You create a page using drag-and-drop blocks — hero, bullet points, opt-in form, CTA, text, image, spacer — and publish it on a hosted URL. When someone submits the form, they are automatically added to your CRM as a contact and deal, and your nurture sequences fire immediately.
Do I need a separate landing page tool?
No. Funnels is built in and connects directly to your CRM, email sequences, and WhatsApp automations. Leads that come in through a funnel form are immediately available in your Growth Intelligence pipeline — no Zapier or third-party integration required.
What blocks can I add to a funnel page?
Hero (headline + subheadline + CTA button), Bullet points (feature or benefit list), Opt-in form (name, email, optional phone — choose which fields to include), Text block, Image block, CTA block (standalone call-to-action section), and Spacer. You can add as many blocks as you need and reorder them.
What happens when someone submits the opt-in form?
Three things happen immediately: (1) a CRM contact is created with their name and email, (2) a deal is opened in your pipeline at the warm lead stage, (3) any active email sequence assigned to that funnel begins — including WhatsApp messages if you have WhatsApp connected and templates approved.
Can I redirect the person to a thank-you page after they submit?
Yes. In the form block settings, enter a redirect slug (e.g. "thank-you"). Build a separate funnel with that slug and it will load automatically after submission.
How do I publish a funnel and get the link?
Once you have added your blocks and saved, click Publish. Your funnel goes live immediately at a hosted URL shown in the dashboard. You can share that link directly, embed it as a button on another site, or use it in your social content as a lead magnet destination.
Can I have multiple funnels?
Yes — one per offer, lead magnet, or campaign. Each funnel has its own URL, form fields, and sequence assignment. You can create, edit, and unpublish funnels at any time from the Funnels page.
